User Mailbox Configuration

Understanding the Concept

User mailboxes in Exchange Online store email, calendar, contacts, and tasks. Each mailbox is associated with an Azure AD user account and requires an appropriate Exchange Online license (Plan 1 or Plan 2).

Mailbox properties include storage quotas, retention policies, archive settings, and language/time zone configurations. These can be managed individually via EAC or in bulk using PowerShell.

Mailbox permissions control who can access or act on behalf of other mailboxes. The three permission types are Full Access, Send As, and Send on Behalf, each providing different levels of access.

Key Points

Mailbox requires Azure AD user account with Exchange license
Default mailbox size: 50GB (Plan 1) or 100GB (Plan 2)
In-Place Archive provides unlimited archive storage (Plan 2)
Full Access allows opening another user's mailbox
Send As allows sending as another user (no indication)
Send on Behalf sends with 'on behalf of' notation

Why This Matters

Mailbox management is the most common daily task for Exchange Online administrators. Understanding mailbox types, permissions, and quotas is essential for provisioning users and resolving access issues.

Common Mistakes to Avoid

Confusing Send As with Send on Behalf permission behavior
Not enabling auto-mapping when granting Full Access permissions
Forgetting to assign appropriate license before creating mailbox
